All companies within and connected to the group are aware of their obligations under the General Data Protection Regulation (GDPR) and are committed to respecting and protecting your privacy, through the secure and transparent processing of your personal data.

Why do we need to collect and use your personal data?

This website is operated by The Private Office Limited as part of its sponsorship of the Bath Rugby Road to the Rec 2026 grassroots tournament. We collect personal data to deliver event photos to parents and guardians, and to administer the £2,500 Premium Bonds prize draw.

Processing of your personal data is necessary for the performance of the prize draw and photo delivery services, and for meeting our legal obligations. We rely on legitimate interest to retain relevant data for the purposes of administering the campaign and defending future complaints.

We will treat all personal information as private and confidential, even after the campaign has ended.

What personal information do we collect?

When you use this website, the following types of information may be collected, depending on the services you use:

  • Your first name and last name
  • Your email address
  • Your child's name (to match them with event photos)
  • Whether you have agreed to the prize draw terms and conditions
  • Whether you have opted in to marketing communications
  • Basic website usage data via Plausible Analytics (cookieless, no personal data collected)
  • Referral source information (e.g. which event QR code brought you to the site)

How we use and process your personal information

We, and any company associated with us, will treat all data as confidential and will not process it other than for lawful and legitimate purposes. We use your information to:

  • Deliver event photos you have requested, via email
  • Administer the prize draw, including selecting and notifying the winner
  • Send marketing communications about The Private Office's financial planning services, but only where you have explicitly opted in

Appropriate measures will be taken to ensure the information we hold is kept up to date, not retained for longer than necessary, kept secure against unauthorised or unlawful processing, and protected from the risk of accidental loss or destruction.

Your consent

This site uses two separate and independent consent records:

  • Prize Draw Terms & Conditions — required to enter the draw. By agreeing, you consent to your data being used for the administration of the prize draw.
  • Marketing opt-in — entirely optional. Gives permission for The Private Office to contact you about financial planning services and relevant information. You may withdraw this consent at any time.

Information about children

We collect your child's name solely to match them with professional event photos taken during the Road to the Rec tournament. We do not collect data directly from children. All data is provided by parents or guardians, and we rely on you to have obtained any necessary consent.

Sharing of information

Your personal information will only be disclosed with your consent or where we are required to do so by law. In order to facilitate our services, some data may be processed by carefully selected third-party providers (such as our email delivery and hosting services). Such parties have their own obligations in relation to handling your information appropriately.

Where you have opted in to marketing, your information may be shared with The Private Office's CRM system to enable relevant communications. There may be occasions where we believe you may benefit from a service provided by another firm within the ACL group, so information which is relevant and proportionate for this purpose may be shared between firms within the group.

Retention of your information

During the course of the Road to the Rec 2026 campaign, we will collect and retain personal data that is necessary for us to deliver photos and administer the prize draw.

We will retain your data for the duration of the campaign and for a reasonable period afterwards. Where you have not opted in to marketing, your data will be deleted within 12 months of the campaign ending. Where you have opted in to marketing, your data will be retained until you withdraw consent.

You do, however, have the right to request the deletion of your personal data at any time, which we will comply with, subject to any regulatory obligations and legitimate interests.

How we protect information

The security and confidentiality of your personal information is extremely important to us. All personal data collected and recorded, whether on paper or electronically, has appropriate safeguards applied in line with our legal obligations.

Your data is stored securely on Cloudflare's infrastructure. Our information security controls are aligned to industry standards and good practice. Where appropriate, we use encryption and other security measures to protect your information. We also review our security procedures periodically and will consider relevant new technologies and updated methods.

Where your information is processed

Your information is mainly processed in the UK and European Economic Area (EEA). Where processing takes place outside of the EEA, we take additional steps to ensure that your information is protected to at least an equivalent level as required by applicable data protection laws.

Cookies

This website uses Plausible Analytics, which is a privacy-focused, cookieless analytics service. No cookies are placed on your device for analytics purposes, and no personal data is collected or stored.

Essential cookies may be used to maintain your session (for example, when accessing the admin area). These are strictly necessary for the functioning of the site and do not track you across other websites.

Marketing

We would like to send you information about The Private Office's services and other relevant information, including invitations to events we feel may be of interest. We require your express consent for us to be able to do so.
